Church Administrator
Primary function: As the Church Administrator, you will be pivotal in ensuring the smooth day-to-day operations of Salt House Church, serving as a main point of contact for our staff and extended community. This position is not just about managing administrative tasks and business requirements; it is about embodying the spirit of service, care, and love for others while bringing a wealth of business acumen to the table. You will work collaboratively with our leadership team to establish and maintain infrastructure, policies, procedures, and systems that support our strategic initiatives and community goals. Additionally, you will be responsible for effectively communicating with the diverse individuals with whom we engage, ensuring that our messages resonate with and reach the hearts of our community members.

Principal Duties and Responsibilities:
  • Cultivate a welcoming and hospitable environment where all individuals feel valued and supported
  • Plan and execute day-to-day administrative tasks that support Salt House staff in advancing program/ministry outcomes
  • Construct systems to refine and improve operational efficiency/effectiveness, advancing our mission, vision, and initiatives
  • Assist staff in developing and coordinating volunteer teams that provide essential support services across departments and in specific assigned areas
  • Work closely with church leadership to develop and maintain procedural policies and protocols for staff and volunteers that align with our mission and values
  • Manage office and staff business requirements

Weekly Rhythm:
  • Maintain consistent office hours (Sunday through Thursday) coordinating coverage with additional personnel / volunteers as possible
  • Meet with pastoral staff weekly with status updates
  • Prepare weekly administrative agenda and lead administrative portion of weekly staff meeting (including building and grounds, renter relations, volunteers, finance, shelter, and personnel items)

Salt House Office Management
  • Manage the church and campus calendar
  • Manage office tasks including incoming-outgoing mail and general Salt House email; inventory and purchase of office, kitchen, and building supplies; printing; Sunday morning logistics; office equipment maintenance
  • Manage databases, updates, lists, and passwords
  • Manage data entry and maintain accurate records
  • Ensure all records are maintained in safe and secure manner

Property Management:
  • Responsible for property/facilities management in cooperation with Building and Grounds Team, including the coordination and scheduling of maintenance services (cleaning, utilities, pest control, security, equipment, landscaping, required certifications, etc.)
  • Oversee campus calendar for usage of facilities
  • Cultivate rapport and positive relationships with, and serve as liaison to, church congregations and other renters that use the Salt House building, and other onsite partners including the New Bethlehem Day Center and Kirkland Place
  • Monitor building use needs so that the space is adequately prepared for the next user

Finance:
  • In cooperation with bookkeeper, support the financial systems of Salt House
  • Support the work of the Finance Team, Treasurer, and Financial Secretary
  • Prepare necessary reports in cooperation with bookkeeper and leadership

Volunteer Program Development:
  • In conjunction with related staff and program leaders, identify volunteer roles, oversee creation of volunteer-position descriptions, and execute plans for recruitment, screening, onboarding, and training of volunteers
  • Train and oversee volunteer teams as needed
  • Cultivate positive, appreciative relationships and communication with volunteers

Marketing Management:
  • Help tell the story of how Salt House is making a positive impact in the community with and through God’s love
  • Ensure clear and effective communication with internal and external stakeholders, utilizing various channels to reach our target audiences
  • Create and curate social media content that is relevant and valuable to the target audience (utilizing Facebook, Instagram, and Threads)
  • Create and distribute weekly email newsletter
  • Create an Annual Report, through story, words and images, by collecting weekly 'This Is Goods' and other newsworthy items from the Salt House life together

Minimum Experience and Qualifications:
  • 3-5 years administrative experience, preferably in non-profit setting
  • Associate degree in business administration, non-profit management, or related field is desirable
  • Budget management and fiscal agent experience is desirable
  • Strong attention to detail with proven ability to achieve thoroughness and accuracy when accomplishing a task through concern for all the areas involved
  • Proven ability to take initiative, demonstrating a willingness to take responsibility and get things done
  • Enthusiasm for being part of a growing community and serving others with love and compassion
  • Excellent spoken and written communication skills
  • Ability to identify problems and resolve them with efficiency, flexibility, and creativity
  • Ability to establish and maintain effective relationships and communication with staff, volunteers, and community members
  • Safe Haven Training at Salt House (ability to attend next available training)
  • Proven ability to extend sensitivity and inclusivity to guests and members, especially those of minority and fringe groups (i.e., unhoused people) with the ability to connect authentically with individuals from diverse backgrounds
  • A collaborative and adaptable mindset, with a willingness to embrace change and innovation
  • Ability to use a computer. Comfort with technology and learning new software. Proficiency in MS Word, MS Excel, and MS Outlook required; QuickBooks, Facebook, Instagram, Threads, SharePoint, and Expensify preferred.

Physical Demands / Work Environment:
  • The employee frequently is required to talk and hear
  • The employee must frequently lift and/or move up to 20 pounds
  • Specific vision abilities required by this job include close vision, and ability to adjust focus
  • Position requires flexibility in scheduling, including odd hours

  • This position requires a criminal background check.
  • This position requires Safe Haven Training (provided by Salt House)

Compensation: $23-$28/hour
Other Benefits: Stipend for insurance, paid time off
Weekly schedule: 30 hours/week, Sunday-Thursday
